01
Food banks run on regular warehouse, sorting and distribution sessions, and gaps appear fast when someone drops out. With Volunteero scheduling, you post recurring shifts with capacity limits, and volunteers register, swap or cancel in the app.
Let trusted volunteers book without approval, and require approval for others
See which shifts still need volunteers at a glance
Send reminders before each shift to reduce no-shows
At Bow Foodbank, staff used to remove no-shows and add last-minute attendees by hand after every session. With Volunteero, the people who sign up generally attend, so that double-checking has all but disappeared. Volunteers, from retired people to younger people balancing other commitments, can fit shifts around their lives.

02
Food banks often have more people wanting to help than they can take at once. Volunteero recruitment gives you configurable sign-up forms with their own link, or embedded on your website, and every registration lands in one place.
Since starting with Volunteero, Bow Foodbank has welcomed over 300 new volunteer registrations. Its coordinator says new volunteers have been able to get set up and book shifts quickly, without difficulty. Keeping the database current is simple too, so your lists reflect the people who are actually volunteering. When you are ready for more help, publish a new opportunity and the applications come straight to you.
03
Volunteers check in and out in the app, or scan a QR code on a kiosk. Any device can be a kiosk, even a coordinator’s phone. Attendance and hours feed straight into reporting, so you don’t need a separate spreadsheet.
Bow Foodbank has built custom insights dashboards to monitor total hours logged, the number of people reached and the contribution of group volunteers. In the first six months of 2025 alone, its volunteers logged 8 months and 17 days of time, and the most active volunteers regularly give more than 50 hours a month. The team also uses data on volunteer diversity to understand who it is reaching.

04
A simple thank you keeps regular volunteers coming back. With automated badges, recognition is awarded on rules you set, such as number of shifts, total hours or completing training, so nobody is missed and nothing needs tracking by hand.
Bow Foodbank is introducing badges as part of a new reward scheme, with badges for shifts, hours and specialist roles like driving. As its coordinator put it, the team had planned to use points but realised badges with automation make it much easier. Some badges can be surprises, while discoverable badges show volunteers what they can work towards.
Why it works
Delivery missions can include a checklist or shopping list, protect client details by showing only a first name and initial, and let drivers call a client from the app. Volunteers can submit expense claims with their report.
Give a trusted volunteer a group leader role so they can assign shifts and check their group in on the day. Groups keep corporate teams and regular crews organised, and their hours count towards your impact figures.
Many use spreadsheets or paper sign-up sheets. With Volunteero, food banks post recurring shifts with capacity limits, and volunteers register, swap or cancel in the app, so coordinators can see gaps at a glance.
