01
Matching a volunteer with a client used to mean running reports from several systems and asking volunteers one by one. In Volunteero, staff create a befriending mission with a short bio of the client, and suitable volunteers can choose who to support. If a match isn’t working, the volunteer can leave and the mission opens up for someone else.
At Age UK Gateshead, the average number of people each volunteer befriends rose from one to three, volunteer productivity increased four times and the number of monthly active volunteers grew by 75%. Age UK Reading’s befriending team used to spend around a day a week matching volunteers with clients. Now matching happens as part of onboarding, using what volunteers share in their application.

02
Volunteero is one of very few volunteer management systems with a client database. Client referrals arrive through configurable forms, and each client has a profile alongside the volunteers who support them, replacing spreadsheets and shared drives.
By default volunteers see only a client’s first name and initial
Volunteers can call a client from the app without sharing personal numbers
Checklists and shopping lists for errands, and expense claims with reports
Role-based permissions limit who can see sensitive information
Good Neighbours in North Cardiff moved from a handwritten task book to Volunteero. Six months later, the number of tasks they couldn’t help with each month had fallen from thirty to seven, with 65 volunteers active on the system.
03
After each call or visit, volunteers complete a short report built from your own template, and reminders prompt them if a report is due. Answers to chosen questions can trigger an alert, so a concern reaches the right staff in seconds and its resolution is logged for a full audit trail.
Age UK Reading’s befriending volunteers submitted over 1,000 reports in seven months, with 96% engagement with the app. End-of-month reporting that used to take 10 hours now takes 30 minutes. The team says the Action required alerts mean escalated concerns are no longer lost in a sea of emails. At Age UK Gateshead, volunteers can flag a safeguarding concern with the press of a button.

04
Most befriending services ask for two references before a volunteer can start, and chasing them is slow. With Volunteero automated reference collection, referees are emailed your own reference form as soon as an application is submitted, and a reminder goes out automatically after seven days.
Age UK Northamptonshire’s volunteer coordinator used to spend at least 30 minutes gathering each reference. Now references arrive against the application, ready to approve. Across Volunteero clients, a completed reference takes an average of three days, and Age UK Reading has cut two weeks from each onboarding journey.
Why it works
Volunteer profiles show missions joined, hours given and reports submitted, so you can see who is active and who might need a call. Age UK Gateshead says it can now see everything in real time.
Clear navigation, plain language and minimal steps make Volunteero easy for volunteers of all ages, including those who are less confident with technology. They can use the app or a web browser, and staff can take actions on their behalf.
Hours, calls and outcomes are captured as part of everyday activity, through check-ins and reports. Build custom insights for commissioners, trustees and funders without combining spreadsheets at the end of every month, and share a clear picture of your impact.
Group chats give befriending volunteers a safe space to share experiences and support each other. Every conversation stays in a GDPR-compliant platform your organisation controls, rather than in personal WhatsApp groups that staff cannot oversee.
Keep volunteers, clients, matches and call reports in one system. Volunteero lets staff post befriending missions, volunteers record each call in the app, and alerts flag any safeguarding concerns to the right person.
Yes, if you allow it. Staff create a mission with a short client bio and volunteers can join it, or you can require approval or assign matches yourself.
Through their call or visit report. You choose which answers trigger an alert, and the relevant staff are notified by email and see it on their dashboard, with the resolution logged against the record.
Yes. Volunteero includes a client database alongside volunteer profiles, with referral forms, client tags and controls over what volunteers can see.
